Benefits Enrollment & Changes

You may enroll in benefits during your first 31 days of full-time employment. However, once elections have been submitted, you are unable to make changes even if you are still within your 31-day enrollment window. You may also make changes to current coverage within 31 days of the date you experience a qualified change in status or change coverage during the annual open enrollment period. Open Enrollment is typically held November 1 – 15 each year, and elections made during this period become effective January 1 of the next calendar year.

Workday

Once you have made your final decisions, log in to Workday and look in your Workday Inbox to find your New Hire Benefits Enrollment task.  Open the task to complete and submit your elections.

  • Refer to the How to Make Benefit Elections and Changes in Workday job aid for step-by-step instructions in making your elections in Workday.

  • If you enroll a spouse and/or children (under age 26) on your medical, dental, or vision plan, send a copy of the documentation listed below to the Benefits Department at Michelle.Konakci@Maritz.com within one week after submitting your elections.  Your elections will not be processed until the documentation is received:

    • marriage certificate (if adding a spouse)

    • birth certificates, legal adoption or guardianship papers (if adding a child)

Timeline: You Have 31 Days

You have 31 days following your hire date to make your elections to enroll or waive coverage in each benefit.  For benefit plans that are effective retroactive to your hire date (medical, dental, vision, and supplemental life), any premiums due from your effective date forward will be deducted from your next available paycheck.

  • Important Note: Be sure to take time to carefully review your options before submitting your elections.  Once you have submitted your elections, you are unable to make changes until the next annual open enrollment period, unless you experience a qualified change in status - even if you are still within your first 31 days of employment. 

    • An exception applies for the HSA, 401(k), Commuter, or discounted benefits through YouDecide (such as Home/Auto Insurance), which can be changed any time during the year – no change in status is required.

  • If you wish to waive all benefits, you will need to complete your new hire benefits task in Workday and make an actual election to waive them and to designate your Basic Life Insurance and AD&D beneficiaries in Workday (Maritz pays the full premium for this coverage).

Medical Plan with HSA

If you elect the Maritz medical plan, you need to elect the Health Savings Account to receive the Maritz HSA contributions to your account.  If you don’t wish to make your own contributions, enter $0 in the amount field.  First, you need to be aware of some IRS rules regarding the HSA:

  • If you also have other coverage that is not a high-deductible plan (such as through a spouse’s plan or any Medicare coverage), or your spouse participates in a Healthcare FSA, you aren’t eligible to participate in the HSA.  Contact the Benefits Department so we can waive the HSA for you (Workday won’t allow you to waive it yourself).

  • If you are eligible for the HSA, all new accounts opened are required to go through a US Patriot Act identity verification process – which compares your name, social security number, address, etc. that we send to Wex (the administrator of our HSA) on our eligibility files (as shown in Workday) to the government database.  This process happens automatically “behind the scenes”.  If any information is different, you’ll receive a request from Wex to submit additional documentation to confirm which information is current. 

    • It is very important that you provide the requested documentation right away.  Any discrepancies not verified within 60 days will cause your account to be closed and all contributions returned.

401(k)

  • If you wish to contribute to the 401(k), you will receive a welcome email from T. Rowe Price, the administrator of our 401(k), within two or three weeks after your hire date.  This email will provide you with information you will need to register as a new user and log into the T. Rowe Price portal to make your contribution elections, designate your 401(k) beneficiary, and choose your investment options.  You do not make any elections or changes for the 401(k) in Workday – everything is done directly on the T. Rowe Price website.

Home, Auto, and Pet Insurance

  • If you wish to enroll in discounted Home, Auto, or Pet insurance offered through YouDecide, you will enroll directly through one of the insurance companies available on the YouDecide portal.  You do not make those elections in Workday.
